How to stop taking your studio's bookings on WhatsApp

A rehearsal studio that takes bookings on WhatsApp works, until it doesn't: a message at eleven at night that nobody answers, the same hour promised to two bands, the band that never turns up and hadn't paid a penny. This guide covers what to move to a booking page first, and how to bring your regular bands along without losing one, whatever tool you choose.

What booking by message costs you

  • The bookings that arrive while you're closed. A band messaging on Sunday night about Tuesday wants an answer now. Without one, they ask another studio.
  • The same hour, twice. With the diary in your head or a notebook, a "sure, it's yours" in one chat collides with another in the next.
  • The no-shows. A booking by message costs the band nothing, so not turning up costs them nothing either. The room sits empty and you go unpaid.
  • Your time. Every booking is several messages: what's free, which room, how much, confirm, remind. For every band, every week.

What to move first

You don't have to change everything at once. Three things fix most of it:

  1. Let people see what's free. A page where anyone can see each room's free hours and book without asking. Late-night bookings stop slipping away, and nobody can book an hour that's already taken.
  2. Take payment when they book. The full price or a deposit, paid online there and then. Bands who've paid tend to show up, and if they don't, the hour is already paid for.
  3. A cancellation rule, written down once. How late someone can cancel and what happens after, shown before they book. It stops being an awkward conversation every time.

Bringing your regulars along

  • Reply with the link. When someone messages to book, answer with the link to your page rather than with the free hours. By the second time, they book on their own.
  • Bands who rent by the month become a membership: the room held for them all month, or shared between several bands who each book their own hours.
  • For the first few weeks, enter the stragglers yourself. Anyone who still rings or messages goes into the same calendar as everyone else. You lose nobody while they get used to it.
  • Put the link where people already find you: your Instagram profile, your Google listing and your WhatsApp Business away message.

What stays on WhatsApp

WhatsApp doesn't go away, and it doesn't need to. It's still the place for questions: which amp is in the big room, whether the drum kit can stay, how to find you. What changes is that it stops being your diary. Bookings, payments and cancellations live somewhere they can't clash.
